A special note on Transcription Services: Please see this recommendation document to see if these tools fit your needs.
Low Risk:
Transcript Heroes & NVIVO
Both Transcript Heroes and NVIVO have been evaluated by TRAC as 'Low Risk' for use within the research community, contingent upon compliance with these guidelines aimed at maintaining this risk rating. For inquiries concerning data retention and storage, please contact the Office of Human Research Ethics at ethics@uwo.ca.
For detailed instructions on procuring NVIVO or Transcript Heroes through Mustang Market, please click here. These instructions only reference NVIVO, but should also assist for Transcript Heroes. Should you have any questions regarding the ordering process via Mustang Market, please contact procurement@uwo.ca. Additionally, for queries related to NVIVO products or the order fulfillment process, reach out to Mike Assaf at the Western Tech Hub in the Bookstore (massaf@uwo.ca).
Microsoft and Zoom
In addition to the foregoing, the use of Western-hosted instances of Office 365 transcription (functions within Word and Teams) and/or Western-hosted instances of Zoom transcription will not require a TRAC review, as use of these functions would fall under Western’s institutional Master Service Agreements (MSA) with these Vendors.
However, that being said, Western's data classification and data handling standards still need to be considered and followed to where sensitive or confidential information is in use.
Additionally, use of these transcription services would only be covered if used by Western/institutional accounts (meaning, using your Western credentials to log into the system). The institutional MSA does not cover personal use, or any accounts outside of Western.
If applicable, transfer of data files should be done within context of good data governance (i.e. if the file needs to be removed from Zoom's storage, the files should be transferred to OneDrive or to Teams).
Medium Risk:
- CMBusiness
- Hightail
The process for using a Medium Risk solution is to contact uwo-risk@uwo.ca to obtain the TRAC report. Researchers are responsible for understanding the risk assessment, ensuring that their use-case falls within the scope of the assessment, and seeking appropriate institutional sign-off.
